About SOI Asia

School on Internet Asia (SOI Asia) is a global academic network established in 1996 and coordinated by Keio University. The network connects universities and research institutions across Asia and promotes collaboration in education, research, and knowledge sharing through digital technologies.

SOI Asia Secretariat at Keio University serves as the headquarters of the network and coordinates activities with partner universities, faculty members, researchers, students, and organizations across Asia and the Asia-Pacific region.

Position

Administrative Staff, SOI Asia Secretariat

We are seeking a full-time administrative staff member to support the operation and coordination of SOI Asia activities at Keio University headquarters.

The position involves administrative work as well as communication and coordination with universities and organizations in Japan and overseas. As SOI Asia works with partners across multiple time zones, the position requires flexibility in communicating and coordinating with global partners.

Main Responsibilities

  • Provide administrative and operational support for SOI Asia activities and programs
  • Coordinate with partner universities, faculty members, researchers, students, and external organizations
  • Support the planning and implementation of meetings, workshops, seminars, and other events
  • Manage schedules, registrations, travel arrangements, documents, and other event-related logistics
  • Prepare and manage administrative documents, reports, invoices, and related records
  • Communicate with global partners by email and online meetings
  • Maintain and update contact lists, project records, databases, and other administrative information
  • Support the preparation and distribution of announcements, meeting materials, and other communications
  • Assist with financial and budget-related administrative procedures
  • Provide other administrative and operational support as required by the SOI Asia Secretariat

Required Qualifications

  • Experience in administrative, coordination, or project support work
  • Strong organizational and time-management skills
  • Good communication skills in both Japanese and English
  • Ability to communicate effectively with people from different countries and professional backgrounds
  • Proficiency in Microsoft Office, Google Workplace, or equivalent productivity tools
  • Ability to work independently and manage multiple tasks and deadlines
  • Strong attention to detail and ability to follow through on tasks

Preferred Qualifications

  • Experience working in a university, research institution, global organization, or similar environment
  • Experience supporting global projects, programs, or events
  • Experience communicating and coordinating with overseas universities or organizations
  • Experience with administrative procedures, budgeting, accounting, or procurement
  • Interest in global education, research collaboration, or higher education in the Asia-Pacific region

Employment Conditions

Employment Type: Full-time
Salary: Commensurate with qualifications and experience
Working Hours: As stipulated by Keio University

Benefits: In accordance with Keio University’s employment regulations

The position involves regular communication, coordination, and negotiations with iglobal partners across different time zones. Occasional flexibility in working hours may therefore be required.
